Chief Marketing & Innovation Officer
Monday through Friday, 9:30 am – 5:30 pm (overtime as required)
The Assistant, Business Development provides secretarial, technical and organizational assistance to the Business Development department (“BusDev”). This is a dynamic position requiring the ability to demonstrate professionalism, effective communication skills and use of good judgment through understanding of our Firm’s policies as a valued member of a support team.
Typical responsibilities include, but are not limited to, the following:
- Answer and place telephone calls professionally and take accurate and complete messages for the Chief Marketing & Innovation Officer, Director of Business Development and two Senior Managers
- Answer and direct incoming calls from the BusDev hotline to appropriate teams / departments
- Calendar management (schedule in-person / virtual meetings, send outlook invitations, track rsvps), arrange conference room reservations, catering and AV requests as needed
- Arrange domestic / international travel as needed.
- Prepare, secure necessary approvals, and process all BusDev department invoices
- Prepare and submit expenses reports for BusDev senior team members
- Review and prepare department’s annual budget and reconcile spending against budget forecasting
- Create, revise and print correspondence, memoranda, PPT presentations and other documents
- Assist with revisions to lawyer bios and practice pages on the external website and update BusDev bio folders as necessary to reflect lawyer arrivals/departures
- Order, distribute and track client gifts and holiday cards
- Create, prepare and distribute name badges, place cards, table tents for BusDev events
- Prepare orientation schedule and administrative onboarding for new BusDev team members
- Manage and track daily ad requests for charitable contributions and update Ad Log tracker
- Organize and prepare agendas / PPT presentations for department meetings
- Review and prepare department’s annual budget and reconcile spending against budget forecasting
- Conduct ad hoc research and assist with special projects as needed
- Ability to manage a varied workload and meet deadlines
- Must be punctual and reliable
- Proficient in MS Word, Excel, PowerPoint, Outlook, InterAction, Zoom / Webex, Adobe and other applications as needed
- Strong interpersonal skills
- Must be able to work collaboratively with lawyers and business services personnel, demonstrating strong teamwork and a positive attitude
- Flexibility in daily schedule to accommodate unexpected situations arising from BusDev department needs
- Excellent written and verbal communication skills
- Ability to proofread typed material for typographical, spelling and grammatical errors
- Ability to type with speed and accuracy
- Ensure confidentiality of all the Firm’s and clients’ documentation and information
- Bachelor’s Degree
- Minimum of 3 years’ experience preferred
The expected base salary for this position ranges from $65,000–$70,000. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, licensure or certifications obtained.
