Director, Administrative Assistants
Monday through Friday, 9:30 am – 5:30 pm (additional hours as required)
The Supervisor, Administrative Assistants supervises assigned administrative assistants ensuring established protocols and best practices are adhered to at all times.
Typical responsibilities include, but are not limited to, the following:
- General supervision of administrative assistants on assigned floors
- Oversee record keeping
- Must be able to train and present, as needed to new hires
- Work on special projects as assigned by Director
- Meet with assistants regarding performance issues as necessary; document all communications
- Process and gather materials for evaluations
- Arrange coverage as needed and communicate arrangements with staff and lawyers
- Be visible on floors throughout the day
- Arrange for assistance with overflow work as needed
- Approve requests for time off; inform Benefits Department of any pending disability or FMLA leaves
- Update current weekly coverage needs as necessary
- Approve overtime and oversee staff compliance of overtime procedures
- Complete move spreadsheets with department information; apprise assistants and attorneys of move information, as necessary
- Welcome new administrative assistants and check-in periodically that all needs are being met
- Check training schedule and schedule assistants as needed for additional training needed
- Review and update reports (Workday, headcount and facilities)
- Respond as needed to floor facilities reports; liaison between all departments as needed on practice floors
- General supervisory duties including keeping current with firm applications and programs used in the department
- Ability to manage a varied workload and meet deadlines
- Must be punctual and reliable
- Proficient in MS Word, Excel, PowerPoint, Outlook and other applications as needed
- Strong interpersonal and leadership skills
- Must be able to work collaboratively with lawyers and staff, demonstrating strong teamwork and a positive attitude
- Flexibility in daily schedule to accommodate unexpected situations arising from attorneys/legal assistants and other staff
- Excellent written and verbal communication skills
- Ensure confidentiality of all the Firm’s and clients documentation and information
- Knowledge of business and management practices and procedures
- Knowledge of general human resources principles
- Minimum 3-5 years' supervisory experience
- College degree preferred
The expected base salary for this position ranges from $130,000 - $160,000. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, anticipated assignment, and, where applicable, licensure or certifications obtained.
